Frequently Asked Questions Regarding Arts and Sciences Scholarship Applications:
Q: What does “submit 8 copies of this application cover sheet
along with the attachments…” mean?
A: Depending on which scholarship you apply for, there will be
a certain number of copies and attachments that will be
required, such as official transcripts, an essay, a letter of recommendation,
etc. For example, the K.S. Cheng Memorial Scholarship requires the
following:
To complete your original packet, be sure to include
1. A completed application cover sheet
2. The description of your academic career
3. Your financial needs
4. A letter of recommendation
5. Official university transcripts
6. The required essay
Then make the required amount of xerox copies of each item in your
original packet (if it says “submit 8”, make 7 more
copies and submit them along with the original. Please collate each
packet according to the order in which the items appear on the application
cover sheet. Bind each with a staple or paper clip.
Q: How should our application be submitted?
A: Submit the original application and its duplicate packets bound
in one big rubber band or in one big envelope. There is no need
to enclose each packet in separate envelopes, folders, report covers,
etc.
Q: Why do we need to make copies of our application?
A: There are usually 3 to 8 scholarship committee members, so each
committee member gets their own stack of applications to review.
Q: What is expected from the letter of recommendation?
A: A letter of recommendation should mention all your positive
qualities not revealed by objective data such as test scores. A
substantive letter from a teacher or faculty member who knows you
well can often be very persuasive to the scholarship committee.
You may either:
a) Pick up the original or get it sent to you and then make as many
copies as required.
b) Ask your professor if he or she can make the required amount
of copies of the original for you. You can pick up the original
and the copies or ask that they be mailed to you. Make sure you
specify to your professor the number of copies you need.
Q: Should the letters of recommendation be in sealed separate envelopes?
A: No. Enclosing the letters in separate envelopes is not necessary.
When collating each letter into each packet, make sure each letter
is in its correct order, unsealed and opened.
Q: What if my professor insists on not letting me see the letter
and sends it separately to the scholarship committee?
A: If your professor insists, then it’s okay. Just ask him
or her to make the required copies for you and enclose them along
with the original. If this happens, do not staple your packets.
Please add a note indicating that the letter of recommendation will
come separately. When the letter reaches its destination, the envelope
will have to be opened anyway and collated with your application
in the correct order.
Q: Where can I get an official university transcript?
A: Go to the second floor of the Queen Lili‘uokalani Center
for Student Services. On the left hand side there are business windows.
There should be a window that has transcript request forms available
on the side. Fill out a form and pay at one of the business windows.
There is a fee of $3 for your transcripts to be processed that usually
takes about 1 week. Additional fees may apply.
Q: Do I need to request multiple copies of my transcript?
No. Fortunately for you, if you did, transcripts would be very
costly. All you have to do is request one. You may have the transcripts
sent to you or pick it up yourself. The transcripts will have “Issued
to Student” stamped on it. This is fine. You then must make
the required amount of copies and collate each copy into each packet.
Do not put transcripts in separate envelopes
Q: Do I have to be Chinese in order to apply for the K.S. Cheng
Memorial Scholarship?
No, but those with Chinese ancestry will be given a preference
for this scholarship.
Q: How long will it take before I know whether or not I got the
scholarship?
A: It usually takes about a month for the scholarship committee
to review the applications, interview eligible candidates, and make a
final decision.
Q: What should I submit as evidence of talent for the John Young
Scholarship?
A: No original artwork will be accepted. Please include pictures,
color photos, or slides, of your work with your application.
If you have a musical composition or a dance you would like to submit,
please include a CD or have images burned onto a CD-Rom or DVD.
Q: Can I apply for more than one scholarship?
A: Yes, we encourage our students to take full advantage of all
scholarship opportunities available to them.
Q: If I received a scholarship in the previous years, can I apply
again?
A: Yes, a student is eligible each new year a scholarship is
offered.
